Setting up your email server is an important step in ensuring effective communication with your recipients.
If messages sent from a server end up in spam, it may negatively impact the sender's reputation and reduce trust in its content. To avoid this problem, you can use the following methods:
- Use an authoritative sender address. The sender address should match the server domain and have a valid MX record. Avoid using generic or anonymous addresses such as info@, noreply@ or admin@.
- Configure SPF, DKIM and DMARC records. These are mechanisms that allow you to verify the sender's identity and prevent false impersonation. The SPF record determines which servers are allowed to send messages from a given domain. A DKIM record adds a digital signature to each message that can be verified using the public key. The DMARC record specifies how the recipient should handle messages that fail SPF or DKIM verification.
- Take care of the content of your message. The content of the message should be legible, linguistically and spelling correct, and adapted to the expectations and preferences of the recipients. Avoid using suspicious keywords such as free, warranty, urgent or click here. Do not overuse capital letters, punctuation or colors. Do not send mass messages without the recipients' consent and provide them with the opportunity to unsubscribe from the mailing list.
- Monitor your server's reputation. A server's reputation is a rating given to it by email service providers based on various factors, such as the volume of messages sent, the frequency of bounces, spam complaints, and compliance with good practices. You can check a server's reputation using various online tools such as Sender Score, Barracuda Reputation Block List and Google Postmaster Tools.
- Test messages before sending. To check whether messages end up in spam, you can use special testing services such as Mail Tester, GlockApps or Litmus. These services allow you to send a message to various test addresses and receive a report on its deliverability, appearance and possible problems.
