Office 365 is a set of over 20 professional tools for every company that improve internal business processes. Each of them is responsible for a different pillar of activity. There are many programs, but the most important ones are:
Exchange Online is responsible for receiving and sending e-mail - a base of 50 GB of e-mail space per user - it has advanced anti-spam filters that combat unwanted messages by almost 100%. It is an alternative to G-Suite and traditional email accounts such as g-mail, home.pl, onet.pl, wp.pl, etc.
OneDrive – this is a service that allows you to store files. It is an alternative to traditional methods of storing files on a computer or server, Google Drive or DropBox. The service provides as much as 1 TB (1000 GB) for each user (the space can be increased to 5 TB). Access to files is possible from anywhere in the world (provided you have access to the Internet or have previously saved a given document on your device). It allows you to share files with other people and verify who the file was shared with. These permissions can also be revoked with one click.
SharePoint - like OneDrive, allows you to store files, with the difference that it is aimed at teams and collecting the results of team work, i.e. contracts, invoices, project management, etc. The company receives 1 TB for files. SharePoint is an alternative to arrays and network shares and does not require VPNs for remote work.
Teams – this is a tool designed to improve team communication. Teams provides a workspace where employees can exchange text messages, make voice calls, or video chat with each other from anywhere in the world. In addition to communication, each team receives its own data space (SharePoint). Guest mode allows cooperation with "outside" people, e.g. with subcontractors or clients. Teams is available for computers and mobile devices (tablets, phones). It is a perfect alternative to Slack and Hangouts.
Planner – is an application that allows you to assign tasks to employees. It allows you to track the stage at which work is being carried out. Planner is integrated with Teams. Planner is an alternative to Trello - except that it integrates with the entire Office 365 environment.
Word Online – a tool for editing documents. A document written in Word will always be opened correctly by the recipient. As part of Office 365, Word Online allows many people to edit a file at the same time - from any device, of course. It is an alternative to Google Docs.
Excel Online – a program for creating spreadsheets. Teamwork on one sheet, file versioning in the background, easy ability to share sheets - we gain all this with Office 365. Excel Online is an alternative to Google Sheets.
PowerPoint Online – a tool that allows you to create professional presentations on any computer or mobile device. Autosaving to the cloud ensures that in the event of a power outage, the entire presentation will not be lost. An alternative to Google Slides.
In addition to the above tools, Office 365 includes many others - it is impossible to describe them in one article. We encourage you to read the other articles.
The proverbial "cherry on the cake" of Office 365 is that it has excellent data control functions in the company (allows for easy implementation of GDPR!), ongoing analysis of the use of functions, powerful diagnostic tools (e.g. Why does my email not reach my contractor? Where is the problem?) and the ability to manage employees' devices - the so-called MDM (Mobile Device Management). We write about these and many other functions on our blog.
